Online Communications Job Responsibilities
When preparing to move your website to a content management system, it is very important to understand that many of your organization's internal processes may have to change and new ones created in order to take full advantage of your new online publishing capabilities.
Please consider the roles below and how your organization can allocate the time, focus, and the technical and editorial ability to fill these roles.
You may merge the roles below into one or two positions depending on the size of your group. We encourage you to have a staff conversation about who in your organization is best suited to fill the below roles and then add these responsibilities to the appropriate job description.
Content Authors
Person(s) responsible for writing and posting content on the website (Most staff will be content authors).
Responsibilities
- Generate new content for the website
- Evaluate existing content (publications, internal documents) and prepare it for web publishing
- Responsible for writing and posting web page content, news items, events, press releases, job postings based upon expectations of Editor in Chief
Requirements
- Understands organization's web standards and best practices and publishes content with these in mind
- Understands general web standards and general internet user trends and requirements
Website Administrator
The person on your staff who is responsible technical aspects of the website, email newsletter database management, and other online tools.
Responsibilities:
- Creates new user accounts, manages groups and understands how to set permissions up on site
- Manages your organization's email lists
- Manages the import of information collected from website or email sign-up forms into your database
- Manages all website, email and website related passwords and permissions
- Provides support to staff for questions about using the website
- Will provide new and refresher training to staff on using the website
- Will receive info from Groundwire related to Plone and other tools
- Understands how more technical aspects of Plone work and help staff think through best approach for using Plone as a tool for displaying information
- Responsible for or supports staff in setting up proper online forms for volunteer efforts or events
- Develops and retains knowledge of email newsletter tools and supports Editor-in-Chief in successful delivery of content
Requirements
- Basic familiarity with HTML and CSS
- Interest and continual learning in how to optimize email newsletters and get the most out of your online newsletter tools
- Interest in continued learning about Plone
- Knowledge and ability to support other staff in acquiring, preparing and uploading staff requested images for the website
- Has working knowledge of image manipulation software (Photoshop elements, Photoshop, XnView, etc) that allows you to crop, resize and compress your photos for the web
Website Editor-in-Chief
Your communications director or similar position
Responsibilities:
- Responsible for developing and overseeing organization's web publishing standards and best practices
- Identifies and describes target audiences
- Responsible for making sure that website and email newsletter is used as a tool to communicate with target audiences and achives online goals.
- Maintains and manages an editorial calendar and manages the responsibilities of the Content Author(s)
- Responsible for setting online success goals for the website and measuring against these goals using tools such as Google Analytics.
- Responsible for writing and distributing email newsletters
Requirements
- Studies and understands web standards, best practices and how to read website statistics
- Studies and understands best practices around use of online newsletters
